Recruiting and dispatch need different information
Recruiting may coordinate the appointment while an authorized testing contact receives the result. Dispatch needs the company’s appropriate work-clearance decision, not unrestricted access to sensitive testing details. Define the communication path and make sure the person releasing the driver knows which applicable checks are complete.
Example: a driver brings an old negative result
An old result may prompt a question about the prior-program exception, but it does not establish the exception by itself. The employer needs the specific participation, testing, verification, and record conditions in §382.301. Ask the authorized program contact to verify the actual requirements rather than using the age of one document as the whole decision.
Document which task remains outstanding
If hiring is delayed, identify the missing milestone accurately: collection pending, verified result pending, required query incomplete, qualification record needing review, or another applicable issue. This lets staff address the actual problem without sending the driver through an unnecessary repeat task.
The hiring release needs a verified result

An exception needs supporting verification
Section 382.301(b) has specific conditions involving prior program participation and testing history. A driver’s statement that another company tested them is not enough to establish the exception. Check the employer-verification requirements before relying on it. Treat the testing requirement, Clearinghouse query and driver-qualification review as separate hiring tasks.
